Pioneer Day Vendor Application

Pioneer Day is held on the second Saturday in September at Arlington Park in Cleveland, Oklahoma. Applications for 2026 are due August 31.

This application is being prepared for live submission. The information below reflects the current vendor fees, setup rules, electrical limits, and qualification requirements.

Vendor fees

Each vendor space measures 10 feet by 10 feet. Every additional space is charged at the full applicable rate. For example, a regular vendor using two spaces without electricity will pay $20.

Who qualifies for the nonprofit or youth rate?

The free nonprofit rate applies only to one standard 10-by-10 booth without electricity. Additional spaces are charged at the regular non-electrical rate. A nonprofit or youth organization requesting electricity must pay the full regular electrical rate for every space.

Eligibility is limited to organizations recognized as tax-exempt nonprofits by the Internal Revenue Service or to established youth organizations such as school groups, youth sports teams, Scouts, and similar community youth programs. Cleveland Main Street may request proof of nonprofit status or youth-organization affiliation.

Setup and vehicle access

Vendors may arrive as early as 7:00 AM. Unload promptly and move your vehicle away from the vendor area as soon as possible. The roads around Arlington Park become increasingly crowded as more vendors arrive.

Roads leading to vendor locations will be blocked at 9:00 AM. Vendors who expect to arrive after 9:00 AM must coordinate with event staff in advance. Late vehicle access is not guaranteed without prior arrangements.

Booth and trailer setup

Vendors must fully describe how they plan to operate within their assigned area. This includes tents, tables, racks, trailers, food trucks, awnings, serving windows, displays, tow vehicles, and any equipment that extends beyond a standard 10-by-10 space. A trailer-based booth or any setup that cannot be unloaded and moved into a standard space must be disclosed in advance so event staff can assign a safe and workable location.

Electricity

Electrical connections are limited. Vendors approved for electricity will receive their location at check-in and should expect access to one outlet. Vendors must bring their own outdoor-rated extension cords, and a cord up to 20 feet long may be needed. Vendors needing more than one plug must also bring their own outdoor-rated power strip or other safe, approved means of creating additional plug-in locations.

Nonprofit and youth organizations requesting electricity do not receive the free booth rate. They must pay the full regular electrical rate because electrical spaces are limited.

Regular vendors may not use generators. Any exception for an event service provider or approved nonprofit must be specifically authorized by event staff before Pioneer Day.
